How to Create More Time in Your Life and Business with the T.I.M.E Framework

Table of Contents

Hello there, wellness entrepreneur! Welcome back.

Today, we’re talking about time. How to create more time in your life and your business so you can feel more productive, get more done, and truthfully, just have time to do nothing! Have buffer space with nothing planned, where you can rest, you can be creative, you can go to your favorite yoga class, you can just spend time with your family, whatever it is that you want to do.

And I feel like this subject comes up a lot, especially this time of year, with schedules changing from school to summer, and then summer back to school, and then, of course, before we know it, the holiday season is upon us.

How I Use The T.I.M.E Framework

So I will help you through that transition, or all these transitions with this T.I.M.E Framework I will teach you today. And I used that myself this summer. In fact, last summer I used this to create my highest revenue months while taking the most time off as I processed through my brother’s passing. And this summer I used it just to have more flexibility in my schedule for fun. I was able to take two weeks off in the month of July to travel back east and spend time with family, as well as go on a family camping trip, which was super fun. We do it SoCal glamping style, where we just drive 45 minutes up the road and hit up a beach side. It’s not right on the beach, it’s about a mile east, but we go to the beach a lot. We even go to the Orange County Recreational Community pool and shower and bring pizza. We do it glamping style, but we have so much fun.

I was also able to deal with some life circumstances this year. My husband and I are very fortunate enough to have our two cars and an e-bike. So getting around typically day to day is not a problem, but this summer, my car, fortunately I was not in it and everyone is safe, but it was totaled. And our e-bike decided to go on the fritz. So I had to spend extra time researching with my husband on how to fix our e-bike, as well as do all the things that come with communicating with insurance and working through a total car situation and getting a new car. Fortunately, I’m finally going to be able to get my dream car, which is rev four hybrid. Very excited about that coming in August. So I was able to have time to take care of all of that, plus pour into my clients.

I’m having a lot of creative ideas for my clients right now that I’ve been implementing. The month of July, actually, I had two guest presenters and speakers. One was a lawyer, one was an energetic money block healer into the business to just pour content and other resources into the Awaken Business Coaching Program so they can get results quicker and faster.

And I’ve had high revenue months during this time as well. In fact, these revenue months would be considered the highest revenue months of last year. But the cool thing is they were back to back to back to back several months in a row through what can be seen as a slower summer period time. So I’ve gotten lots done. My clients have gotten lots done.

How Will This Framework Benefit You

I’ll share some of their success stories implementing this framework, so you can do it to create more time so you can enjoy the rest of your summer, ease into the school year and then hit your goals and ease into the holiday season as well.

I really do think the wellness and health community is awakening and getting wise to the fact that time and revenue are connected. Meaning that the amount of hours that you actually work in your business does not correlate or equivalent to an increase in metrics that you’re monitoring in your business. Meaning you don’t have to spend more time on social media to get more visibility and more consults from social media. Or you don’t have to write more emails to get more consults from emails. So you don’t have to spend more time at your desk or in your office to get higher revenue goals, to sign more clients.

It’s optimizing what you’re currently doing so you are more efficient, so what you’re doing takes less time and produces more results. So I’ll say that again. It’s optimizing what you’re currently doing so it takes less time to, for example, create a reel, write an email and you get better at what you’re doing. So if you’re putting on a workshop, you get more registrants. You get more conversions at the end of the workshop to consultations. And then you improve on your consultation conversion and you get more clients. If you’re always optimizing the dials or the levers as it’s sometimes called in your business, then you really optimize your time efficiency.

The Importance of Knowing What to Prioritize in Your Schedule

The key, however, is to know what to prioritize in your schedule and how to manage your schedule to really give you the creative brain power to optimize those levers and make the decisions that’s going to move the needle in your business in less time.

And then when they’re working well, if for periods of time you want to throw gas on that fire by writing more emails or doing social media posts like during a launch, or if you are promoting a webinar and such, then you just get more of what’s working. Instead of sitting at the desk looking at your MacBook and wondering: “Oh, what am I going to do today? How can I get a client today? I have so much I need to do. I don’t know where to start. I don’t know what to prioritize. I don’t know what’s important. And now after all this thinking time of trying to figure out what to do, I only have 20 minutes left before I have to go pick up my kid and move on to my life activities outside of my business.”

Or sometimes we get so overwhelmed in our business that we just avoid those activities and we work on cleaning the house and doing other things. And no shame here, no judgment, because I’ve been in all these positions where either A, I’ve tried to hustle and fit it all and cram it all into one day, or B, I’ve felt so tired and burnout and exhausted that I can’t get off the couch and I can’t do anything in my business or my life.

So let’s find that sweet spot middle. Because the reality of overworking, like picking up that extra subbing yoga class to bring in more money or attending network events just to go to them, or forcing yourself to sit at the desk longer when you’re really exhausted and just need to rest can actually cause a contentious relationship with your business that can slow you down. You want to obviously have a harmonious relationship with your business. I communicate with my business all the time and feel into the energy of what my business means. But sometimes if we’ve been in burnout before and have the fear of burnout, we might not take sufficient action in our business activities or we might keep our schedule super light, just in case, to make sure we don’t burn out.

Must Read: The Secrets to Preventing Burnout in the Wellness Industry

So in this framework, I’m going to teach you how to actually take effective action day to day in your business in the days that you choose to work, as well as be able to be aware of your mindset and process any emotions, which actually the stress and the pressure typically leads to burnout quicker than actually physically burning out because you have so many one-to-one sessions. And I say that from experience because I’ve been burned out where my one-to-one schedule has been really maxed and now I have a very full one-to-one schedule.

However, I feel like I have more energy and time. And some of that has come to both schedule management as well as my energy and my mindset management. But it is knowing your capacity for one-to-ones, especially if you’re doing manual body work, how many physically can you do in a day, a week, a month, or if you’re having to cue a lot like in classes or private sessions, how many energetically or vocally can you handle in a day, a week, or month. It is important to know your physical limitations as well.

But when you do get your schedule and energy managed better, optimized, then I’ve found personally, I have been able to increase my capacity to handle more one-to-ones, which just gives me flexibility and freedom of choice because it’s a very simple way to bring in more revenue into your business while you learn and get the skills on how to transfer into online group and on-demand style programs.

The T.I.M.E Framework

So I’m going to give you the time framework first and overview and then we’ll get into each of the sections specifically.

Now, if you’re on my email list, you’ve already heard that I’ve actually gotten some replies from my email saying how much you guys have liked this time framework. I just gave a sneak peek. So if you want to get frameworks like this ahead of time before other people, just make sure you go to the show notes and get on my email list.

Okay, T.I.M.E.

T stands for time blocking.

I is for implementation.

M is for management.

And E is for emotional regulation.

So nothing too earth shattering or mind blowing, but when put together, it actually is on how it works. So we’ll break it down.

Time Blocking

Time blocking is huge for me. So I personally time block my day, meaning what time am I starting work? What time am I ending work? And I can put either a workout block at the start of that day or the end of the day, or on occasion, I do work out in the middle of my day, breaking up the day, but most of the times it’s in the beginning or the end.

But if I know the hours of what my block of time is when I’m working, then I can easily schedule my personal life, like when I have to go to enterprise and pick up a rental car, or when I need to pick up my daughter from camp. My husband and I are able to share the carpool and we share carpool with friends for camps even. I’m able to figure that out with more ease when I know my exact hours of my working day. And so I can stick to that. So I actually macro time block in my day-to-day working hours. And then I micro time block within that working day where I’ll have blocks of time, usually one I work well and you need to figure out how you work.

But personally, I work well within an hour time block, a 90 minute time block, two hour time block, or three hour time block, depending on some things. So I’ll give you some examples.

For client and patient time blocking, I do really well with two to three sessions back to back. And then I need some type of break, whether it’s working on social media content, whether it’s just having lunch, whether it’s working on a workshop registration page, I need to mix up the tasks at that point or just insert a half hour, an hour break. And then I can do another two to three time block.

Must Read: Inspiring Workshop Case Studies with Cristina Zheng for Business Growth

And so I know my capacity for doing one-to-one sessions is six. I know my manual therapy capacity typically in a day is three to four. However, I can’t do four sessions in back-to-back days. So if I do a day of four sessions that are manual therapy, then the next day needs to be only two or three. And in a week, these days I limit my patient care, so manual therapy, yoga demonstrate, that sort of thing, to one to four sessions a week.

My business coaching client side, I can do more. I have the capacity for more where I can do definitely three, I can handle six with a half hour, an hour break in between splitting that day off. And I can do back-to-back of that. However, I wouldn’t like weeks of six every day for weeks on end. That might be a bit much.

And how do I find out these capacities? It’s through trial and error. It’s having back-to-back days of six client sessions. It’s doing four client sessions in a row and realizing, “Oh man, my quality goes down and I really need a break.” It’s doing four back-to-back manual therapy days, sessions with days and being like, “Oh, my body hurts, I can’t do this. I’m really dragging today.”

So it’s trial and error. It’s stretching your capacity and trying it and then knowing that you can change it. And that is what helps prevent burnout. It’s when we try to do it and we keep pushing through it, which is when I did one of my first few years of business, I thought that my capacity would just grow in as I was learning it. And I just kind of pushed through those subtle warning signs and bows such as little soreness, feeling depleted in energy, but keep scheduling out because I thought that’s what I should do. I should have eight sessions a day every day because I heard other practitioners doing that instead of really tuning and honing in on what my body needs.

So you have the ability to push your limits on what you can handle for a one-to-one when you know that you’ll trust yourself to test it and then make changes according to the data that you get. So you need to have some flexibility in your schedule where you’re not maxing out and booking out your schedule with no wiggle room to reschedule and maneuver as you figure out your capacity.

The same is true when you’re transitioning more online and you’re learning how to market online, it’s figuring out your capacity of how much marketing tasks you can handle in one time. So for me, I know I can do a 90 to two-hour marketing task block and I’m fine. And that can be creating reels, creating stories, captions, creating and working on a registration page. I know I can do those for a two-hour block of time. If I go over two hours, my brain starts to feel a bit scattered and fried. So I typically don’t block three hours.

Same for writing emails. I can do two-hour block of time, but beyond that, I start to feel like a space cadet where my eyes are crossing and such. So I don’t typically block off larger amounts of time in one sitting and doing those specific tasks.

However, I know people that block off whole days doing that. It just doesn’t work for me and how my brain works. So I usually have a time block day of anywhere from three to six clients and patients in one day. And then those extra hours, depending on my workday, if it’s six or eight hours, then I’ll have one to three hours of marketing and admin time, usually scattered throughout the day or wedged in the middle of the day or kind of bookends at the beginning and the end of the day. And I like variety. So I mix that up each day because that’s how I thrive, not having the same day every day and not doing the same thing every day. But that’s how I work. You might work differently.

And the other way I work well with my time blocks is steady and consistent. Just keep going steady and consistent with four to eight hour workdays, Monday through a half day on Friday or sometimes taking shorter work weeks, but it’s steady and consistent week after week with occasional week or week and a half long vacations.

Where I know other people work more in a sprinter type fashion where they might have longer days. They might work into the evening for several days, they have longer days, but then they take more time off. So it’s like short bursts of working on projects and maybe content blocking for longer periods of time or banging out a whole launch emails and registration page, both for the workshop and for the actual program, banging that out all in two days and then taking more days of rest.

So you need to figure out your style if you’re more steady and consistent or if you’re more of a sprinter type style of work ethic because then that might influence how you actually time block. So there’s a lot of nuance to this, but when you get it right, I’ve had a lot of my clients, they end their days early because they’re more efficient. They’re not wasting time and transitioning, always transitioning from patient care to admin tasks, back to patient care, back to admin tasks. They don’t lose that transition time as much. They’re just more optimized in their blocks of time and they know what to prioritize in their day to day in those time blocks. So they’re more efficient when they’re actually working and that really helps them.

I’ve had several clients stop working on weekends, utilizing this, get home at five o’clock to make dinner with their family and actually just sit with their family and be done for the day or catch their kids in their sport matches and competitive events at three or four o’clock and they don’t feel guilty doing that because they know they had a successful and accomplished a lot during that day.

Implementation

Okay, I is implementation and that is actually what you’re doing in more of the admin and marketing side of the day. So you’re going to be working with your clients and that is obvious that in those sessions, you’re going to be focusing on helping your clients get results, get their health and wellness goals. But with your implementation of admin side or marketing side, that’s where things get a little bit muddy for the wellness entrepreneur, knowing what to prioritize in whether it’s working on a website, creating an opt-in, attending a networking event, hiring a new staff member, doing all the things that come with teaching a workshop.

So setting it up, then do you send an email or do you work on the registration page? How do you know what to prioritize? And this is where coaching is really helpful for you to see the big picture of your business and work backwards because then you know what projects to pin as a priority for that quarter or that month. That’s typically how I work. And then as one project comes to a completion as a close, then I’m working on the next project that next month. And as well as being able to have fluid movement of cycling through multiple projects happening at the same time and as well as syncing up with just ongoing tasks that need to happen in your business.

Like for me, it’s having the pot, all things that come with having my podcast going, keeping weekly emails going, I send anywhere from two to three a week. Most of the time it’s two unless I am launching something. I also have content consistently on my social media platforms, specifically Instagram’s my focus, and then I do a lot of repurposing to Facebook and LinkedIn. I do repurpose my audiogram to YouTube, but that’s not my specific focus right now.

But when you have the big picture in mind, you’re not always either in a race to generate more revenue or a race to generate more time by hiring staff. You can plan ahead knowing, “Okay, I think when I hit these revenue marks consistently or when I have this much revenue in the bank, I’m going  to hire a VA to help with customer service and some repetitive weekly tasks that I can hand off and I can start to prepare for them by writing down certain SOPs that I will hand off so that in the next three to four months, maybe six months, I can start the interview process at three months so then I’m hiring four to six months in and I don’t feel rushed or urgent to hire someone that’s not a great fit for the job or have to pay a higher price,” than what you were hoping to invest because you didn’t leave yourself time or be able to plan it out.

So the same is true for workshops and on-demand and online program launches. The more you can plan ahead of time then the better your marketing will be, the better less rushed you’ll feel and the more effective it will be. So it’s learning how to see the big picture view of what you want to accomplish in a year, then six months, then the next quarter and then the next month. And by doing that, then you only have one or two big projects at a time so you always know what you’re focusing on and you’re not feeling that you have to do everything at the same time, like get your website done, develop that new opt-in and promote this workshop and go to these networking events. You know what you’re prioritizing when.

So for me, for example, I choose to go to one to two networking events a month here in my area. I typically do a workshop every six to eight weeks, whether it’s online or in-person and then I have ongoing social media podcasts and emails and I do the majority of that.

I do have some VAs that help me with some repetitive tasks. I’ve been hiring recently, but I do the majority of that and I’m able to look at my big picture of my schedule and be like, “Okay, I have this workshop coming up. I’m really needing extra time to work on the registration page and the marketing emails and social media so I can get more people in the workshop. I do have this networking event in the books. Is this going to help foster and improve more people in the workshop or is it going to take time away from working on this workshop right now and I can put a pin in it? Or do I need to go foster that relationship with a community I built and just show up and connect with those people and where else can I create more time to work on my workshop registrations?”

So sometimes I do show up to the networking event, even though I am promoting a workshop and sometimes I say, “Okay, I’ll put a pin in this networking event for this month and I’ll show up next month because I really need this extra 90 minutes to get this registration page optimized so I have more people show up to my own event.”

So when you have data of what’s working in your business to bring in clients and what you need to do to optimize and improve those levers, then that helps with decision-making on choosing where to spend your time day to day. With the awareness that you don’t always want to choose tasks.

So for example, I won’t choose to update and go through several of my website pages and create a opt-in lead magnet and the opt-in funnel all at the same time because they’re all behind the screen type activities where I’m not actually meeting with real people. So I’m going to choose to pair a project like, “Okay, let me put some focus on some networking events because I know I do get clients from those and I’ll work on this opt-in and funnel or I might choose to optimize my sales page for one of my programs and I’m going to focus on a workshop because again, I know workshops are going to meet people and I always get clients.”

So it allows me to know how to balance my time with activities that are behind the screen online, not interacting with people and activities where I am interacting with real humans where that’s the direct client generation activities.

So all of this is really important for the implementation step. And again, in coaching, I’m able to help you decide what to prioritize or any coach, hopefully, that’s their work with you is helping to know what to prioritize and how to optimize those levers of what is working so you’re getting more out of them in the implementation phase.

Management

Then the next is M, management. And this is systems, repeatable systems in your business to help you be more efficient and effective in time when you’re the solopreneur and then reproducing those systems by creating SOPs to be able to hire and hand off to some staff so they can reproduce and implement them effectively as well. And these are systems in your place like keeping new clients coming in.

So maybe you want to hand off some marketing, you’re not ready to, this is what I tell my and recommend to my clients is hold on to the actual copywriting but you can have a VA actually take the copy and then they can upload it into your email software system and add the links and make it look all nice or they can take the copy and then add text onto a real and add the caption in and post it to Instagram and then repurpose it on other platforms.

Must Read: Discover the 4 Types of Social Media Content That Convert

So having a SOP in place to keep that work coming in or maybe you have SOPs to help you with launching your workshop and promoting your workshop or you have SOPs in place for yourself where you know how to onboard your new clients, how to get them set up with access to the portal or any questions they might have or for me, I mail new boxes for my clients. What’s the SOP for mailing out new boxes? What’s your SOP for client retention and client renewals? So it’s having SOPs in your business for all the tasks, all the systems, just starting to keep track of that so when you’re ready, you can hand off an SOP at a time to a team member or a VA.

Emotional Regulation

And then E is emotional regulation and that is both increasing your capacity to handle more uncomfortable emotions as an entrepreneur because especially to your first six figures and then six figures to multiple six figures, there’s a lot of failures. So it’s being able to handle that without it completely exhausting and depleting you.

And then it’s also emotional regulation in the moment. So for example, if you are working on trying a new style of reels or you’re getting back into writing emails, it’s knowing that it’s progress over perfection and where you get hung up in a task where an emotion can hold you back.

People Also Read: Five Myths About Online Wellness Programs: What’s True and What’s Not

So for example, maybe it’s posting and publishing that reel, you have imposter syndrome. So it just, you stall on it and it takes you forever to create one reel or maybe it takes you a long time to create an email because of perfection. So it’s being aware of the P’s, the people pleasing which can slow you down in certain marketing or admin tasks or have you going over client sessions longer than you would like. It’s procrastination and knowing why you might choose to procrastinate unconsciously in certain tasks. It’s also perfectionism and how that might slow you down in your business.

So I teach my clients how to become aware and regulate their emotions in the moment as well as journaling techniques and mindset and visualization techniques, working with belief and mantras and mindset and coaching to improve their capacity to handle certain emotions.

And this is not often talked about in the world of entrepreneurship, how to handle this and how it might actually really be slowing you down or draining your energy, being huge energy leaks. So it’s important to be aware of this for yourself.

Things that You Can Achieve When You Use The T.I.M.E Framework

So here’s the T.I.M.E system, the time framework again. T is time blocking, I is implementation, M is management, E is emotional regulation. And when it’s put together, you can achieve things like this:

My client Julie was able to double her revenue and her free time which helped her break through the 2K to 4K revenue month and finally hit 10K. Another one of my clients was able to finally break into consistent five figure months with more confidence and utilizing her own frameworks and techniques in her sessions instead of always following her gurus and mentors frameworks.

My client Justine was able to create an additional 20K in profit. She put right into her bank. She sleeps better through the night. She has exceeded several online launch goals for group style programs. She has now hired her dream team to free up more time so she can grow and scale those online programs and she’s able to just have more free time for herself and her family.

My client Lynn has worked less late evenings. She has optimized her running forum clinics to get more consultations. She’s now optimizing those consultations where she has moved from selling packages of three to now sells packages of 12 more consistently. She spends more time with her family. She was able to take some great trips over the summer and last she hit her first six figure year.

And all of these stories are on the blog. One is coming. So you can head back to past blogs to read them from their words and know about their journey more specifically and stay tuned for future blogs as well.

Conclusion

And of course, if you want my help implementing this whole system so you can get more clients quicker, you can transition from one-to-ones in person to online more of a group one-to-many style format with more ease because I know in that transition I did made so many mistakes, made too many changes all at one time. It is so helpful when you have coaches to help you through it, especially someone who’s been in your position and can help you to avoid all the mistakes, so you can go through it much quicker with much more revenue than even I did.

Hi, I'm Dr. Alison McLean, DPT

I believe wellness practitioners deserve to live the freedom they teach.

Not someday. Not after one more certification or one more full caseload. Now. We entered this work to help people heal — and somewhere along the way, we became the most burned out people in the room. Seeing clients back to back, skipping meals, missing family moments, quietly wondering if this is as good as it gets. What they didn't teach us in school is that the business model we inherited was never designed to give us freedom. It was designed to keep us busy. There's a version of your practice that doesn't require your sacrifice as the cost of admission. One where your income isn't capped by your calendar, your clients get your best, and you actually have a life outside the treatment room.

That's the world I'm building — and I'd love to help you build it too.
